Tenant Retention and Relationships
The Rubinoff Company prides itself on its excellent tenant retention record which reflects the quality of our tenant relations. From the initial contact through on-going tenant requests, The Rubinoff Company team works with all tenants and users to maintain long-term relationships based on a responsive service model. We periodically send out Tenant Satisfaction Surveys to help us focus on areas that may require more attention. The survey helps us to gauge how we are performing in relation to tenant expectations.
Building Operations and Management
A team of professionally trained staff is assign to each property. A Property Manager is the point person for day-to-day operations while the Director of Property Management Services oversees the overall management of the facility along with the ongoing assessment of the asset’s long-term capital needs. The Property Manager is assisted by staff that coordinates the dispatch and supervision of maintenance personnel and contractors. The Property Manager conducts regular site visits and inspects the property to ensure a first class presentation as well as proper operation of building systems.
Contract Procurement and Administration
The Property Management team coordinates vendors, controls the bid process, supervises maintenance providers and supervises the contracts. Rubinoff’s portfolio size and relationships within the community allow us to take advantage of our purchasing power to obtain benefits and efficiencies for its clients. Contract compliance including risk management is measured by regular inspections. Each long term, recurring vendor (janitorial, security guard service, elevator maintenance) is required to execute a Service Agreement that seeks to insulate ownership from liability. All short term capital and/or construction projects are performed pursuant to an AIA contract.
Flexible Software and Reporting
The Rubinoff Company has state-of-the-art software and equipment. Accountants, lease administrators, and property managers provide client-customized reporting using Yardi and Argus for lease tracking and financial reporting. Flexibility is key and includes the ability to create various charts of accounts and financial statements and specialized budgets.
In addition to Yardi and Argus, our professionals are trained on other financial reporting systems and we will utilize other programs if required by a property owner. Our web-based, computerized maintenance management system is used to schedule and track work orders as well as preventive and corrective maintenance on all building equipment and systems. This promotes operating efficiencies and prolongs equipment life in turn saving ownership repair and capital expenses.
The Rubinoff Company’s project and construction management team has the expertise to perform construction and improvement projects ranging from simple carpet and paint requests to multi-million dollar sophisticated office, light industrial and manufacturing build-outs.
Projects are delivered on budget and on time; from inception through completion and post-occupancy operations, we focus on client communications, transparency in procurement and contracting and full integration of the public entitlements requirements. The Rubinoff Company enjoys positive, long-standing relationships with owners, business leaders, contractors, suppliers and local municipal authorities which facilitates and streamlines the construction process.
